Job Description

The Event Coordinator is responsible for supporting the planning and execution of in-person and virtual events for U.S. Customs and Border Protection (CBP), one of MarCom Group’s most active and high-visibility federal accounts. This role works closely with the Event Manager and Manager of Event Services to support high-volume deliverables. The ideal candidate is highly organized, proactive, and experienced in managing both virtual and onsite logistics. This is a fast-paced position that requires attention to detail, professional communication, and the ability to multitask across multiple activations.

 

Supervisory Responsibilities

  • The Event Coordinator may serve as the onsite lead at designated events. The coordinator may supervise MarCom Group's Production Assistant or vendor partners at select activations.

 

Duties & Responsibilities

This role provides comprehensive support across all aspects of event execution, from logistical planning and vendor coordination to virtual platform management and onsite implementation. The coordinator will be involved in both event execution and administrative tasks that ensure projects stay organized and on track.

  • Coordinate logistics for virtual events, including webinars and expos hosted on the Brazen platform.
  • Manage virtual event scheduling, presenter preparation, guided rehearsals, run-of-show, and live session support.
  • Maintain virtual event documentation, including briefs, timelines, and task trackers.
  • Assist in improving virtual event content, script support, creative asset coordination, and attendee engagement.
  • Coordinate logistics for hiring events, expos, and major activations, including timelines, vendor communication, travel, and show services.
  • Support exhibit logistics and assist onsite with setup, registration, signage, and vendor management as needed.
  • Participate in planning meetings, document action items, and ensure follow-through across stakeholders.
  • Assist in documenting event presence, gathering feedback, and identifying opportunities for improvement.
  • Perform administrative tasks such as note-taking, template building, tracker updates, and deck formatting.
  • Communicate clearly and professionally with internal teams, clients, and partners.
  • Follow all MarCom Group procedures for time tracking, travel coordination, and internal documentation and communications.
 

Knowledge, Skills & Abilities

  • Extremely organized, responsive, and detail-oriented.
  • Experience managing webinars, virtual platforms, and in-person events.
  • Calm under pressure with a collaborative, solution-focused attitude.
  • Familiarity with SharePoint, OneDrive, Outlook, Dropbox, and virtual event platforms (e.g., Brazen).
  • Able to work independently while managing multiple projects and deadlines.
  • Strong communication and interpersonal skills with team members, vendors, and clients.
  • Experience using project management tools such as Asana, Workfront, etc. 

 

Preferred Qualifications

  • 5-8 years of experience in event coordination or project management.
  • Demonstrated experience managing virtual events, including webinars, expos, or online trainings.
  • Experience supporting recruitment, government, or federal agency events.
  • Strong logistics and administrative coordination skills.
  • Tradeshow or expo experience is a plus.
  • Bachelor’s degree in business, event management, marketing, or related field.
  • Willingness to travel domestically up to 50% as required.
